Collaboration Platform Collab
Working together and documentation are important topics in projects. Do you want to efficiently create, organize, and share information with your team? You are welcome to use our Collab web application for this.
The product for our Collab web application is called Confluence and was created by Atlassian. It is especially helpful in promoting collaboration and making your knowledge centrally available. This in turn improves efficiency and transparency as you work with others.
What can you do with Collab?
- Manage knowledge: Centrally file away ideas, documentation, and processes.
- Manage project documentation: Keep meeting notes, plans, and progress in one place so that everyone can always be up to date.
- Promote collaboration: Work with colleagues in real time on content, leave comments, or give feedback directly on the pages.
- Use templates: Access prepared templates in order to start quickly—from meeting notes to process visualizations.
How do you gain access to Collab?
- If you've never used Collab, we would recommend taking part in some training (cf. Continuing Education Program for Personnel Development). To prepare you can apply for a 'space' in Collab. The information you'll need for that can be found below. In this case, you will become the 'space administrator'.
- If Collab is already being used where you work, then talk to your group/project leader. For already existing Collab spaces, there is always a space administrator.
- The space administrator (usually the group or project leader) can apply for your access to Collab via e-mail to confluence-support (HRZ ticketing system).
- The space admin's e-mail must contain the following essential information:

- Last name, first name of the person or people needing access
- The user ID(s) of the person/people (J-, G- or N- ID)
- Name of the Collab space
- Access level in the space
- Read - This person can read anything in the space but cannot make any changes.
- Write - This person can read and make changes to any content, as well as save the changes.
- Space administration - This person has administrator privileges in the space and therefore complete access, able to make sensitive changes. We recommend limiting the number of space admins and only handing out these access levels to experienced users.
- A point of contact for any questions in case the applicant is applying on someone else's behalf.
- Each application can be for multiple users. Please list each person along with their information one after another. This makes processing it easier.
- The Collab system admins will reject applications from people who are not the space administrators for data security reasons.
