IPP Travel Grants and Research Funding

Please note that travel claims must be sent at least 6 weeks before the planned trip. Any Travel Claim submitted later than this time will not be taken into consideration.

Who may claim travel expenses?

Official members of the IPP are entitled to claim travel expenses for conferences and research trips in Germany and abroad. Unfortunately, these expenses cannot be covered for associate members.

In order to receive financial support for conferences, you must either present a paper or be involved in organizing the event. Exceptions may be negotiated on a case-to-case basis.

 

Which costs are covered?

Reimbursements may be claimed for the following expenses:

  • ticket costs

  • accommodation expenses

  • conference fees (if applicable)

Please note that original receipts must be provided for all claims. Always favour the most economic option. Journeys by train will generally be reimbursed at the rate of second-class travel with a discount card (BahnCard 50) or the DB’s savings fare (Sparpreis 50).

 

Criteria for granting support

The IPP coordinator will review each application and make his/her decision following the following criteria:

  • academic quality

  • relevance of the event or travel for your research project

  • the IPP’s goal of furthering doctorate students’ experience and skills in presenting and publishing papers nationally and internationally and maintaining international networks through the active engagement of its members in international events, conferences and research trips.

All reimbursements granted will be determined in accordance with the guidelines issued by the Hessische Reisekostengesetz.

 

Application procedures

In order to apply, please fill out the online Travel Claim Form or send a print-out to the IPP Team. Please submit your application for financial support as early as possible and let us know via email that you have sent us the documents.

Travel claims made less than 6 weeks prior to departure cannot be considered.

If you plan on travelling for more than one week, apply at least three months before the start of your journey; if you plan on travelling for more than three weeks, apply at least six months in advance.

JLU staff (also applies to WiMis and AHKs) must include in addition:

    • the "Dienstreiseanzeige" form, which you may submit along with your application;
    • for trips within the EU, the European Economic Area, or Switzerland, and depending on the destination and length of your trip, a "Bescheinigung A1". Please check the JLU's guidelines (German only). 

 

After your conference trip/research stay

You will be required to submit a written report on your conference trip/research stay within four weeks of your return. More details will be given in the letter informing you of the success of your application.
