Preliminary remarks
JLUdocs is the community for text documents in the institutional repository JLUpub. In JLUdocs you can publish (incl. DOI assignment) and permanently store dissertations and habilitations, scholarly documents (e.g. articles, monographs, working papers, secondary publications in accordance with the green road) as well as student theses (on recommendation of the supervising professor). The data is stored on storage systems in the IT Service Centre (HRZ) of the Justus-Liebig-University Gießen. The registration is done via the HRZ User ID. All members of the Justus-Liebig-University Gießen can use JLUdocs. External users, e.g. doctoral students who are no longer working at JLU, can have an account created by sending an e-mail.
Preparation of the publication
Convert your document to
PDF
. If possible, generate a PDF document in the PDF/A-1b:2005 standard, which simplifies optimal long-term archiving.
Please make sure that you disable all
security settings
, e.g. password protection. This gives us the opportunity to convert your documents published in JLUdocs into improved data formats at a later date and thus make it available for the long term.
Choose a short and meaningful name for your file, without umlauts and spaces. Please name dissertations and habilitations according to the following pattern:
<lastname><firstname>-<date of graduation or or date of habilitation lecture>

For privacy reasons, we recommend to remove personal data, such as CVs, addresses and personal signature, from the document.
Take the opportunity to additionally publish research data underlying the document in a separate submission as described in “ Publishing in JLUdata ”! The document and the document-related research data are linked via persistent identifiers. The submissions are separate processes and may be staggered. We recommend submitting the research data first so that it can be cited within the document.

Log in and start new submission
Please log on to https://jlupub.ub.uni-giessen.de by clicking the Login-button in the upper right corner and login with your HRZ-User-ID. External users, e.g. doctoral students who are no longer working at JLU, can request a user account by sending an e-mail to jlupub@bibsys.uni-giessen.de , stating their first and last name, their e-mail address and the type of publication planned (e.g. dissertation). We will then create the account and you will receive an e-mail asking you to reset your password. Once you have changed your password, you can log in and start submitting.
To submit a document, you can proceed as follows:
Click on the plus symbol in the menu bar on the left, then on “New” and then on “Item”. Select the appropriate collection in the following pop-up window. You will then be taken to a page for editing the submission.
Obtain DOI
At the top of this page, JLUpub shows you which DOI your document will receive. You can copy it and paste it into related documents if necessary. Please note that this DOI is only reserved for you at this point. In case of a rejected submission and subsequent re-submission, it may also result in a new DOI.
Describe the document
The persistent identifier (DOI) is followed by fields for describing your document using metadata. Fill in at least the mandatory fields marked with an asterisk. The metadata serve primarily to enhance the findability and visibility of your document. All information about a document should be represented by the metadata to ensure optimal visibility and reusability of the document. This also applies, for example, to the assignment to (third-party) projects or the link to further resources, such as research data on which the publication is based. You can save the form in the lower gray bar at any time.
Upload the file
To upload files, you can use the area above the form and open your file folder via “browse”. Alternatively, you can simply drag and drop your file(s) into the browser window.
Licensing the document
A license regulates the rights of third parties to use your document. In its “Appeal for the use of open licenses in science” (in German) from 2014, the Alliance of German Science Organizations recommends the granting of CC0 or CC-BY licenses.
Under “Creative Commons” in the drop-down menu, you can decide which usage rights you want to grant. If you select no Creative Commons license, the regulations of the publishing contract and, if applicable, copyright protection will apply. Before licensing, please ensure that you are authorized to grant a license for the document you are submitting. A subsequent change of the selected license is possible as long as the document has not yet been published.
It is not recommended to assign a CC license to a cumulative dissertation or a cumulative habilitation thesis. In individual cases assigning a CC license might be permitted (e.g. for articles in open access journals).
Publishing contract
Read the publishing contract and confirm your agreement by ticking the box (required). Then submit your document by clicking on “+ Deposit”.
Done!
The metadata of your document will be checked by the University Library and, if necessary, corrected and completed. Afterwards your document will be added to the repository. Please allow up to three working days for the approval.
Dissertations and habilitations, for which publication is mandatory, will be made publicly available after the printed copies have been received by the University Library.
Publishing a new version of your document
Log in (see above) and open “My JLUpub” via the user profile menu at the top right. Under “Your submissions”, click on the “View” button to open the document for which you would like to publish a revised or updated version. On the document overview page click the button to create a new version to the right of the document title. In the following pop-up window, enter the reason for the new version in the field provided, e.g. revised version, 2nd supplemented version, 2nd edition, and click on “Create”. This will take you back to the page for processing the submission. All fields are filled with the metadata of the previous version. If necessary, change and add the metadata for your new version of the document; the metadata for the older version are retained. Under “Upload files” the previously published file is displayed. Please delete the old version of your file before uploading the new one. Complete the submission by accepting the publishing contract.
The metadata of the new document will be checked by the University Library and afterwards the new version of your document will be added to the repository.

JLUdata is the research data repository on the JLUpub platform. In JLUdata, you can publish (including DOI registration) and permanently store research data that have been generated in the course of research activities at Justus Liebig University. Describing the data
The persistent identifier (DOI) is followed by fields for describing your data set using metadata. In the process of submitting your research data, you are asked for entering various information on the data set. The descriptive metadata serve primarily to enhance the findability and visibility of your data.
All information about a data set should be represented by the metadata to ensure optimal visibility and reusability of the data. This also applies, for example, to the assignment to (third-party) projects or the link to other resources and publications.

Upload the files
Next you can upload the file(s). You can upload structured data (e.g. tables), images, audio files, video files, models, software and other research data. To upload files, you can use the area above the form and open your file folder via “browse”. Alternatively, you can simply drag and drop your file(s) into the browser window.
Please upload only files with a maximum size of 2 GB. If you want to upload larger files or amounts of data, please contact forschungsdaten@uni-giessen.de .
Please clarify before submission which files should belong to a record (searchable entry in the repository). A set of files and their metadata form one record in the repository. A DOI will be assigned for each published record.
JLUdata is generally not limited in the selection of file formats. However, there are generally no guarantees that certain formats will still be readable in the future. It is therefore advisable to convert your files into one of the recommended formats before uploading. Recommended formats for long-term archiving and information on possible conversions can be found here: https://doi.org/10.5281/zenodo.4041512
The JLUdata team will also provide advice on this issue.
Your files should be named clearly and meaningfully. If necessary, describe the contained files in a separate text file, which you upload together with the data files.
Licensing the data
A license regulates the rights of third parties to use your research data.
In its “Appeal for the use of open licenses in science” (2014), the Alliance of German Science Organizations recommends the granting of CC0- or CC-BY-licenses:

Under “Creative Commons” in the drop-down list you can decide which rights of use you want to grant. If you choose no Creative Commons license, the regulations of the publishing contract and, if applicable, the copyright protection ( https://rightsstatements.org/page/InC/1.0/?language=en ) apply.
Before licensing, please make sure that you are authorized to grant a license for all data to be submitted. A subsequent modification of the selected license is only possible as long as the data set has not yet been published.

Do I need to register to use JLUdocs?
You do not need to register to search in JLUdocs. To publish a document, members of JLU Gießen log in with their HRZ User ID. How long do the documents remain available online?
JLUpub guarantees to keep the published content available for an unlimited period of time within the scope of organisational and technical possibilities.
Are the documents published in JLUdocs citable?
All documents are permanently and reliably addressable and are therefore citable. In order to refer to a document, in addition to the usual information (author, title, etc.), the DOI of the document should be given.
Is there a remuneration option for authors via the VG WORT royalty?
At VG WORT there are two different royalties for texts on the Internet, the regular distribution and the special distribution. Since the publications in JLUdocs do not have counting marks you can only register with VG WORT for the special distribution.
Are there access statistics for my published document?
The usage statistics record the number of accesses to the metadata page and to the associated files for each document. In addition, overall statistics can be retrieved for all communities and collections. The statistics are adjusted for robot accesses, as far as this is technically possible. You will find the link to the statistics at the top in the main navigation bar.

In which file format should my document be submitted?
Publish your document as a PDF or PDF/A file. If possible, generate a PDF document in the PDF/A-1b:2005 standard, which simplifies optimal long-term archiving. Please make sure that all security settings, e.g. password protection, are disabled. This gives us the opportunity to convert documents published in JLUdocs to improved data formats at a later date and thus make them available for the long term.
What will be checked before publishing?
The submitters themselves are responsible for checking the content. All submitted documents are additionally formally checked by the university library, for example whether the metadata are conclusive and whether the submitted files can be opened. If there are problems, you will receive a message and the opportunity to correct them.
What do I have to consider when publishing my dissertation?
According to the Doctoral Regulations of the university, doctoral students are obliged to publish their dissertation. The publication of your dissertation is regulated in the Richtlinien für Promotionsordnungen, 3. Änderungsbeschluss of 30.08.2021 (in German only). You are obligated to publish the dissertation in the final version approved by the examining body responsible for the dissertation according to the respective doctoral regulations. After publication, the dissertation cannot be deleted, withdrawn, corrected or changed. Remove personal data, such as the curriculum vitae from your PDF. What do I have to consider when publishing a cumulative dissertation?
In the case of a cumulative dissertation, the articles included have already been published in journals or similar. Many publishers allow a secondary publication as part of a dissertation. However, before you publish a cumulative dissertation on JLUpub, you must check your contracts or, if necessary, ask the publisher whether a secondary publication of the articles as part of the cumulative dissertation, especially an online publication, is permitted.
The TU Berlin has researched the applicable regulations for many publishers and compiled them in an overview .
If you have published your article Open Access under a Creative-Commons-licence, you did not transfer the copyright to the publisher and thus, you can continue to use your work as you like.
If the publisher does not permit a secondary publication as part of your dissertation, you can remove the relevant article from the PDF for online publication and cite the removed article with an accurate bibliographic citation (preferably with a DOI).
Note that in any case the source of the first publication must be given correctly and in full, including the link or DOI of the publisher’s version.
How do I apply for a blocking note for the publication of my dissertation?
In justified individual cases, a dissertation can be published with a blocking note (embargo), if a patent application or a publication in a journal would be made more difficult or impossible due to the fact that the dissertation would be made publicly available. Please note that a publication of the dissertation in JLUpub does not prevent the publication of an article at a later date in many journals. Before applying for a blocking note, this must therefore be checked with the journal in question and an actual reason for impeding publication must be demonstrated.
The doctoral candidate must apply for the embargo with this
form
(in German only) to the responsible doctoral examination body, i.e. usually a representative of the examination board. The application to the doctoral examination board should be accompanied by a letter stating the reasons for the application and the specified blocking period.
The approved application must be forwarded to the University Library, Abt. Dissertationen.
In addition, register your dissertation for publication in JLUdocs, enter in the field “Embargo period” the date on which your dissertation should be published and submit the 2 printed copies to the University Library.
The metadata for the dissertation will be published promptly, the PDF will be made accessible after the embargo period has expired.

What do I have to consider when publishing my habilitation?
If the publication of your habilitation is required by your habilitation regulations, the same conditions apply here as for the publication of a dissertation.
In the case of a cumulative habilitation, the articles included have already been published in journals. You must check your contracts or, if necessary, ask the publisher whether a secondary publication of the articles as part of the cumulative habilitation, especially an online publication, is permitted.

How can related text publications and research data publications be linked in JLUpub?
In the online form for publishing your document you will find the field “Link to research data”. In this field you can enter DOIs or URLs to your already published research data.
Can documents published in JLUdocs be modified or deleted?
For reasons of scientific citability and authenticity, it is not possible to change or delete documents once they have been published. If changes are necessary, the modified document will be saved as a new version/edition. However, JLU Giessen is entitled to block access to the documents if there are concrete indications that the rights of third parties have been violated.
How do I publish a new, revised version of my document?
If you have revised, updated or made other corrections to your already published document, you can submit a new version/edition for publication. All previously published versions remain accessible and are displayed in the document’s item view under “Version History”. The entries of the older versions receive a note and link to the most recent version of your document.

How can I enter special characters in the fields during submission?
You can simply copy special characters from your document into the “title” or “abstract” fields. If you have problems doing this, you will find a large selection of characters at https://epub.uni-regensburg.de/help/utf8.html and at https://graphemica.com/ . Select the character, copy and paste it into the field.
Error messages during submission
Due to stored cookies, the following errors may occur, for example: after completing the registration form (submit item), it cannot be saved or submitted, or the PDF cannot be uploaded. To resolve the issue, please delete the cookies or reload the page using the F5 key (Windows) or Command+R (Mac).
Legal aspects
What is a publishing contract?
The publishing contract for JLUpub regulates the legal relationship between the copyright holder and the Justus Liebig University (JLU) Giessen in the case of the electronic publication of documents and research data. At the end of the registration process for publishing a document in JLUdocs, you must agree to this publishing agreement by ticking it.
What legal aspects do I have to consider?
When submitting a document for publication, please check, that no rights of third parties (e.g. a publisher) are infringed.
May I additionally publish my document elsewhere?
By agreeing to the publication contract, you grant JLU Giessen only a simple right of use. This gives you complete freedom in dealing with your document, so there is nothing to prevent you from publication elsewhere.
May I publish already published documents in JLUdocs?
This depends on the copyright regulations of the respective publishers, which you can find in your publishing agreement or in the database
Open Policy Finder
. There you can also find out which article version (postprint, preprint or publisher’s PDF) you are allowed to publish with the publisher’s consent and which embargoes you may have to observe.
For information: the standard contracts of numerous publishers (e.g. Elsevier, Springer etc.) now allow the possibility of parallel online publication. Conditions are usually that it is not exactly the version offered by the publisher and that the publication is referenced on the publisher’s site.
Conclusion: Parallel online publication (also as a postprint) is legally unproblematic. As an author in the scientific field, exercise your rights under the Copyright Act, your rights vis-à-vis the publisher and thus the extended publication options, and take advantage of the opportunities offered by open access publication in JLUpub.
As a service, we also offer you the option of simply sending us a list of your publications, which we will check for possible secondary publications. After a positive review, all we need from you is a signed publication contract and the corresponding full texts. We will then take care of the publishing for you.
What do I have to consider if I have used images, graphics, maps or other possibly copyrighted elements in my document?
If you reproduce images, graphics, maps, etc. in your document, you must be the author of these elements, or obtain the rights to use them. Please note the following: The use of third-party and protected parts of works is permitted according to § 51 UrhG, if the so-called purpose of citation is fulfilled, i.e. if an intellectual engagement with the content takes place. This means that there must be an internal relationship between the original work and the quotation, in that the quotation serves to support one’s own point of view or that one’s own text deals with the quotation. If you wish to use images for illustrative purposes, either obtain the right of use or use images that are available under CC licenses.
What are CC licenses?

make it possible to implement open access with the help of standardized licensing agreements. Creative Commons licenses build on the copyright regulations; however, they allow a more extensive use of the works than is usually provided for by copyright law.

Can documents published in JLUdocs be printed and copied?
Published documents can be copied on local computers and printed in compliance with the copyright (see UrhG, especially § 53 UrhG). In addition, authors have the option of granting Creative Commons licenses to shape the legally permissible usage options in the sense of Open Access.

Submit
What kind of data can I submit?
In principle, you can submit all types of data. The repository is mainly intended for the publication of processed research data, such as datasets from completed projects or theses. For the purpose of long-term archiving and reusability, we recommend the use of open formats. An overview of open file formats is provided by the Verbund Forschungsdaten Bildung, among others. For personal data in the sense of the applicable data protection regulations, the consent of the persons concerned must have been demonstrably obtained; otherwise, this data must be de facto anonymized.
Which data formats are suitable?
All data formats can be submitted. Open formats are recommended for the purpose of long-term archiving and reusability. An overview of open file formats is provided by the Verbund Forschungsdaten Bildung, among others. ZIP folders can be used. If you store research data as a ZIP file, please save any associated publication independently, not as content of the ZIP file, so that it is indexed and the content can be found via full-text search and in search engines.
What is the maximum size of the files?
If the individual files are larger than 2 GB, please do not upload your files via the online input mask, but contact forschungsdaten@uni-giessen.de so that we can offer you a more functional alternative.
How is the research data described?
When submitting, an input form opens in which you enter all the required information. The form is largely self-explanatory. Mandatory fields are marked with
. This information (metadata) is mainly used to make your publication visible and searchable.
For the traceability and subsequent use of research data, it is necessary to know the context in which they were created and the and the tools used to collect, process, and analyze the data. The documentation of research data can be very discipline-specific and should follow disciplinary guidelines. It is recommended to upload a research data documentation, in addition to the descriptive metadata in the form of a
.txt file to be uploaded.
How is research data linked to a text publication (e.g. journal article)?
In the "Describe" section of the submission form, enter the URL of the associated text publication under "Link to publications or other datasets".
What does the DOI refer to - a file or a dataset?
The DOI refers to a data set. A dataset may consist of one or more files and is characterized by a common metadata set, i.e., the descriptive metadata applies to all files in the dataset. files in the dataset. It is up to you which of your files you consider to belong together. If you want to assign DOI to individual files, create them as individual records.

Which data should I publish and at what level of detail?

As a rule, publications and research data are submitted for dissemination via JLUpub using the upload form provided by the repository.
