Responsibilities and Event Setup
Q: I created an event in Eveeno myself. Do I need to fill out the form?
A: Yes. For events at the university, please always use JLU's form. BfD will then create your event in Eveeno with the appropriate permissions. It will have necessary default settings pre-configured, provide a link to JLU's privacy policy, and use JLU's corporate design. We will grant you the organizational permissions you request. This is the only way you can fully utilize all of Eveeno's features for your planning.

Q: How can I test an event before it's published?
Alternately, you can activate your event and temporarily set it to private (privat). In this case, the event won’t be publicly searchable and can be reviewed in a controlled environment. Once all settings meet your expectations and everything is ready, you can change the visibility to public (öffentlich sichtbar) with just a few clicks.
Language settings
Q: Can events be displayed in English?
A: Yes, you can change the language of your event. To do so, go to "Einstellungen" > "Sprache" and select one of the available options: German, English, French, or a mixed version.
With the first three options, the entire booking process will be conducted in the selected language. This includes labels, system messages, emails, invoices, and tickets.

Note: A privacy policy in English is not yet available, but is currently being reviewed. The JLU privacy policy in German applies.
Privacy Policy
Q: Do I need to update the privacy policy field?
A: No, you do not need to make any changes to the privacy policy (Datenschutzerklärung) field. If you submitted your event using the form, a link to JLU’s privacy policy will automatically appear in your Eveeno event.
Notes:
- A privacy policy in English is not yet available, but is currently being reviewed. The JLU privacy policy in German applies.
- If you plan an event with Eveeno that requires registration and collects personal data, please use JLU's form to ensure that the template complies with data privacy regulations.
Training
Q: Are there any training courses for Eveeno?
A: No centralized training sessions are offered. Eveeno is an intuitive tool with comprehensive documentation.
We take a learning-by-doing approach: With their free accounts, users can try things out, click through the site, and explore everything at their own pace without pressure.
Finances / Sample Calculations
Q: When do I need to prepare a cost estimate?
A: A budget is always required if your event is expected to generate revenue through Eveeno—especially if participant fees are charged or costs need to be covered (e.g., catering, workshops, or materials).
Even if you are unsure whether a budget is necessary, it is advisable to consult with Department D early on to clarify financial and organizational issues in a timely manner.

Name Tags
Q: How do I create name tags for my event in Eveeno?
A: You can download name tags via the event Dashboard. Select the 'Dokumente herunterladen' (download documents) option and then 'Badges herunterladen' (download badges). This allows you to download name tags for all registered attendees as a ZIP file.
In the ZIP file, each name tag is a separate PDF. If you want to print them together—for example, through the university print shop (HRZ)—you can merge the files into a single PDF using Adobe Acrobat Pro.
