Withdrawal / Refund (Cancellation)
Cancellation after booking is not permitted. Pursuant to Section 8(4) of the JLU Statutes on General University Sports, the following rule applies:
“(…) Termination and any subsequent reinstatement of the usage agreement (cancellation, rebooking) is generally only possible if events under paragraph 1 are canceled. The ahs management decides on exceptions in particularly justified cases.”
Illness
Payment & Fees
How much does it cost to participate?
How can the course fee be paid?
Payment of the course fee is only possible via direct debit.
After online registration, a booking confirmation will be automatically sent to the email address provided.
The direct debit will be processed once at the start of the course period, usually on a Monday. If Monday falls on a holiday, the above rule applies to the following business day.
By making a binding reservation and thereby confirming the registration and participation terms and conditions of the General University Sports Program, you accept the new SEPA Core Direct Debit scheme.
Do I have to submit a SEPA mandate?
What happens if the direct debit fails?
Any costs incurred due to insufficient funds or incorrect account information will be billed in full to the person responsible.
Furthermore, the participants in question will be notified by email and asked to immediately transfer the outstanding course fee and any costs incurred due to insufficient funds (typically plus 4.50 euros) by a specified deadline. If the missing amount has not been received by Justus Liebig University by the deadline, the participant will be excluded from participation in the entire ahs program with immediate effect and blocked from online registration. In addition, Justus Liebig University Giessen reserves the right to initiate collection proceedings (see § 9 (3) of the ahs Statutes).
Course organization & schedule
What hygiene rules apply?
The procedures and rules of conduct outlined in the ahs-specific hygiene and safety measures apply to all courses. These guidelines must be strictly adhered to during the course. By booking the course online, participants agree to these regulations.
Please note in particular:
- Participants with symptoms such as fever and cough, or who have been in contact with a person infected with the coronavirus, are not permitted to participate in the General University Sports program.
What happens if a course oder individual session is canceled?
The University Sports Department may combine or cancel courses if there are too few registrations. If a course is canceled without being rescheduled, participants will receive a refund of the course fee. There is no guarantee that courses will be held.
If individual class sessions are canceled, for example due to the instructor’s illness, the General University Sports Department will attempt to provide a substitute instructor or, if necessary, offer make-up sessions.
Cancellation of sports events without entitlement to compensation:
- if the course day falls on a public holiday,
- if the course instructor is unable to attend and the General University Sports Department is unable to find a qualified substitute at short notice or to offer alternative events or make-up sessions,
- in the event of disruptions to operations (due to construction and renovation work, repairs, etc.),
- if the respective sports facility is occupied by competitions, tournaments, training sessions, or other events,
- due to weather conditions, and
- in cases of force majeure.
Can I transfer my course place to someone else?
It is not possible or permitted to exchange or transfer a course spot to another person! Bookings are always personal and therefore non-transferable.
Likewise, it is not possible to specifically give your spot to someone else. In such cases, those who have signed up for the waiting list have an equal chance of booking the spot once it becomes available.
Lost property
Lost and found items can be turned in to the Kugelberg custodial staff, and inquiries about lost items can also be directed to them. The custodial office is located in the hallway next to the swimming pool.
Please direct all inquiries exclusively to the Campus Sport custodial team:
Email: hausverwaltung-sport
Phone: 0641-9925280
Unfortunately, the General University Sports team cannot assist with lost and found items. Therefore, we ask that you refrain from contacting the ahs office and instead contact the custodial team for the “Campus Sports/Kugelberg” area directly.
Legal & liability issues
Am i insured?
Accidents must be reported immediately to the University Sports Office!
To ensure that claims for potential long-term consequences are covered, the instructor must record the accident details in the first-aid logbook (located in the first-aid kit) for minor injuries, strains, and similar incidents. It is important to document the connection to participation in a university sports event.
For potential coverage of costs by the State Accident Insurance Fund, an accident report must be filed using the forms for students or employees. The forms are available at the ahs office or can be downloaded from the ahs website.
Employees of Justus Liebig University are legally covered by accident insurance for all official General University Sports events, provided the events meet the conditions for company sports (including compensation for work-related stress, regularity, supervision by a designated instructor, and exclusivity).
For civil servants, an accident occurring within the framework of General University Sports is generally not considered a work-related accident. There is no entitlement to accident benefits.
Liability claims against one another in the context of general university sports may arise only in cases of intentional misconduct or gross negligence. Any further liability for damages (e.g., in cases of theft or damage to personal property) on the part of the university sports organization and its staff is excluded.
All participants are advised to take out liability insurance to obtain coverage in the event that bodily injury or property damage is caused to third parties while participating in sports, resulting in liability claims.
The information sheet on accident and liability insurance coverage for participation in general university sports at Justus Liebig University Giessen can be found here.

Online Course
What courses are offered?
What digital tool is used? (technology & plattform)
Starting in the 2022/23 winter semester, the ahs will use the “BigBlueButton” tool as its platform.

You can log in to the platform via a browser; there is currently no app version available. The hrz recommends using Google Chrome or Mozilla Firefox.
You will receive the direct link to your course and other important information in your registration confirmation. You can find the registration confirmation with the link or room access code via the link in the email confirmation. It is best to open this on a laptop. In this case, you must click on the mobile ticket again to view the e-ticket, which includes the link.
Step-by-step instructions for using the software can be found here.

Am I insured?
The Accident Insurance Fund of Hesse states the following on its website: “If the courses offered are part of the company’s sports program and are now taking place online, you are covered by statutory accident insurance while participating. However, this applies only to live sessions or live streams that allow for contact with the instructor for questions or similar purposes.”
Our online offerings, as well as the “JLU-Pausenexpress” for employees working from home—and also for participants joining from the office—meet the above criteria. Therefore, these offerings are covered by statutory insurance.
For safe training at home, the following conditions should be met:
In general, when participating in online sessions, make sure you have enough space to perform the exercises, the floor is not slippery, and you are wearing appropriate clothing (non-slip shoes, comfortable clothing, etc.). Only participate in exercise sessions if you feel healthy.
