Quality Control

Regular meetings:


It is anticipated that the program participants will meet frequently (at least once a month) with the chief of the medical department and with the primary supervisor (if not the same person) in separate meetings. It is also envisioned that candidate and first and second supervisor meet together at least twice yearly. During one of these meetings, it is expected that also the third supervisor participates. Once a year in September, a retreat including all JLU-CAREER participants, supervisors, invited guest speakers and alumnis will be conducted. On this occasion, all active participants and external speakers will present their work and the particpants will have the talk to interview alumnis and external speakers. Moreove, participants will present their work in a JLU-CAREER session on the annual faculty Science Day to increase interfaculty networking and to promote visibility of the JLU-CAREER program.

Progress evaluation, quality monitoring and withdrawal of support:


On occasion of a retreat, the program participants will need to present their work and report on the progress made in their projects and with regard to their clinical education in the previous year (if they worked clinically) and will present the outline for the project and clinical training for the following year. The steering committee will evaluate the progress made in the project with grades from 1 to 5 (5 – excellent; 4 – very good; 3 – good; 2 – satisfactory; 1 – not sufficient). In case the progress made in the scientific project is rated 2, the committee will talk to the participant and the two supervisors, aiming to understand if there are problems which could be solved by the committee and to indicate to the participant and the supervisors that the progress level is not regarded as compatible with the program. In case the progress made in the scientific project is rated 1, the committee can decide to withdraw the participant from the program. The committee will also review the progress made with regard to the clinical education, based on logbooks and the resident´s self-evaluation. The general anticipation is that any participant of our program should be able to directly apply for the board certification at the moment the default education period of the respective medical specialty plus the time-span of the research project not-acknowledged by the medical association has been reached. If the committee raises concerns with regard to the progress of the clinical education, it may arrange a meeting with the chief of the host institution of the resident, aiming to clarify the underlying reasons and alerting the chief for a putative delay in the clinical education. In each case, the committee will evaluate the time period of all program members finally needed to reach the board certification. The actually needed time until board certification will be put into relation with the default time given by the medical association plus the non-acknowledged time span of the research project and the percentage value obtained by each program member will be made public. In case such value exceeds 120%, future applications from residents of this department will not be taken into consideration for one consecutive year. Finally, the average time spent on the research project will be evaluated during each retreat for the last year. In case a participant falls below the accepted corridor of 40-60% working time on the research project, the steering committee will ask for the reasons and the plan for the forthcoming year to correct this. In case a resident has not finished his scientific project with an average research time of 40 to 60%, the steering committee also reserves the right to exclude either the chief of the clinical department or the first supervisor or both from the program for one year.
