JLUforms - Workflow Management and Forms

With the introduction of a workflow management tool, Justus Liebig University Giessen (JLU) is gaining another key component to digitally transform administrative processes. The goal of the project is to gradually replace paper-based forms with online ones that feature seamless workflows, thereby making administrative processes more digital, efficient, straightforward, and user-friendly.

Preliminary project's objectives:

  • Procure the tool Formcycle.
  • Develop standards and recommendations for form and workflow designs.
  • Launch the initial prototype forms.
  • Working with additional pilot areas, implement forms and design workflows that ensure seamless transitions.
  • Make it distinct from other JLU systems.

Prototypes: Dec. C 2 (work contracts), Dec. D 2 (reimbursement of expenses), StW (event template registrations), FB10 (documentation of continuing education activities)

Workflow Management - pilot phase: completed | 3/1 – 6/30/2026

A gap in digitizing form-based processes was identified in JLU’s existing IT architectural development plan. Consequently, we tested the workflow management tool FormCycle during a pilot phase to assess its suitability for use at the university. Key functions and specific use cases were tested using three prototypes. The pilot demonstrated that FormCycle fundamentally meets these requirements. Based on this, the Digital Board has recommended procuring the tool.

The following departments participated in the pilot: Dept. C 2 (work contracts), Dept. D 2 (reimbursement of expenses), FB10 (documentation of continuing education activities)
