Roles and rights in the research information system

On this page, you can find out which user roles are stored in JLU-CRIS and what rights they have. You can also find out how to change your user role in the system if you have multiple user roles in JLU-CRIS.

User roles in JLU-CRIS

Description of user roles in JLU-CRIS

In order to protect the information stored in the JLU-CRIS from unauthorised access, permissions to create, read and edit data are restricted. Data access is regulated by means of various user roles, with each role being assigned a specific combination of rights for editing different processes and process steps. These are based on the duties that the role holders perform in the CRIS.

  • Scientists are assigned the role of ‘Researcher’, which allows them to maintain their literature lists and personal profiles in JLU-CRIS. In future expansion stages, you will be able to process various research project management processes in JLU-CRIS. Here you will find instructions for the role of ‘Scientist’.
  • Administrative staff in the institute and department administrations support the scientists in their activities. Here you will find instructions for the role of ‘administration’.
  • University Library staff support researchers in managing their publication lists.
  • For employees in the doctoral offices, there is the ‘Graduation Office’ role, which can be used to perform tasks related to the administration of doctoral candidate data and doctoral processes. Instructions for the ‘Doctoral Office’ role can be found here.
  • The role of doctoral statistics allows various tasks related to reporting in accordance with the Higher Education Statistics Act (HStatG) to be processed in JLU-CRIS and tasks to be delegated to the respective doctoral offices. You can find the relevant instructions under Instructions for the role of ‘doctoral statistics’.
  • Employees in the Research Department can store information on the university's third-party funded projects in JLU-CRIS. Instructions can be found under Instructions for the role of ‘Research Department’.

The specific combination of rights for each role is set out in the role and rights concept.

Change user roles

Some users of the JLU-CRIS perform different processes in the CRIS as part of their various duties. Since many processes are linked to user roles, these individuals are assigned multiple user roles, between which they can switch for their different tasks.

To switch between two user roles, please click on the small orange triangle (1.) to the right of your name in the dark grey header. Click on ‘Switch role’ (2.) in the drop-down menu that appears. A new menu will appear. Select the desired role (3.):
