Circulars of the Future

In this project, circulars published on the network are first inventoried and then migrated from PDF files to web pages. Two phases are planned for this.

Advantages

Changing from PDF files to websites brings with it many advantages: 

  • 🔎 The new website format will reduce the amount of time spent searching for relevant information related to everyday work.
  • 💬 Reaching out to points of contact will become more efficient.
  • 🌱 The volume of data for circulation will be reduced, and CO2 will be saved (sustainability).
  • 🦯 Accessibility will increase (diversity).
  • 🌍 Bilingual circulars will generally be possible (internationalization).
  • 📱  Information can be absorbed more efficiently and in a more timely manner (mobile first).
  • 😊 Working in a contemporary manner will increase employee satisfaction.
  • 👩‍⚖️ Legal compliance will improve by avoiding outdated information.

 

Phase 1: Revising all Circulars

In phase 1, approximately 250 existing circulars will be initially screened. The aim is to have only the valid circulars published by December 31, 2023. They will no longer contain broken links. All contact information in the messages will be up to date (in the case of older ones such as No Bringing Animals into Offices, the contact details of the person who created the circular are always visible for traceability purposes).
 

 

Phase 2: New Format

In phase 2, the circulars will be posted as websites instead of as PDF files. They can then be filtered according to different criteria, which is not currently possible. The messages can also be given expiration dates (useful for circulars valid for a limited period, such as Working Time between the Years 2023). They can also be made bilingual.
