Logging in and initial steps in the system

1.  Logging in

To sign in please use your g-Kennung as user name and your network password as password
 

 

2.  First steps in the system

After logging in you will be taken to the overview page, where you will find your basic profile information and from where you can select all relevant functions. At the top right of the overview you will find the button Add new, with which you can add a new publication. In the left navigation bar you can retrieve your publication lists, as well as other data fields in CRIS that are linked to your profile.

General Observations

 

Basic Data Areas

The basic building blocks of CRIS are persons, units of Justus Liebig University, and business cards, which create links between a person and an organizational unit. Exactly one business card is assigned to each researcher/employee of JLU. Research services such as publications or research projects are attached to the business cards.

 

Visibility of Records

In the following you will find a short overview of the groups of persons who have rights via role model in CRIS to contents of the area “publication entry and administration” in CRIS:

  • ‘Scientist’ role

After registration, users will receive access as a ‘scientist’. With this role, you can basically only view those publications to which you are linked as an author or editor. Scientists can create new publications (Create right) and then either save them in the draft status “Publication in the data entry” or move them to the status “For validation to the university library.” After this status, the publications can no longer be edited by the researcher.

  • ‘Administration’ role

Administrative staff members who support scientists in entering their publications in CRIS and who are not scientifically active themselves are assigned the role of ‘administration’ in CRIS. With this role, they can only view publications to which scientists who have delegated their rights in CRIS are linked after a corresponding rights delegation (please link to https://www.uni-giessen.de/forschung/FIS/anleitungordner_intern/delegation_intern). The administrative staff can then create new publications for the scientist (Create right) and then either save them in the draft status “Publication in data entry” or move them to the status “For validation to the university library.” After this status, the publications can no longer be edited by the administrative assistant.

  • Library

Staff members of the university library who are responsible for the validation of publications in CRIS are granted CRIS access in the role ‘library’. With this role, all publications stored in CRIS from the status “To the university library for validation” can be viewed, edited, and deleted so that a quality control of existing data can be performed. The library checks the data for completeness and deletes duplicates.

Publication records in draft status are not visible to the library. The entry must first be released for validation by the library by saving it in the corresponding status. The library staff will then receive an automatically generated notification from the system that a new publication is available for validation.

  • CRIS administrators

With the administrator role in CRIS, publications can be created, edited, and deleted in all statuses. Furthermore, publications that have been (accidentally) deleted can be restored for a period of time. CRIS administrators can also edit basic settings in the system, edit the organization tree, and grant new persons rights to use CRIS. CRIS administrator rights are only given to staff members in the research office (StF5) and their representatives as well as to persons who are responsible for technical support.
